Using the Club

Talk me thorough booking and using a car
It's simple. Just book the car online, turn up at the start of your timeslot, and use your combination code to access the key. The car is yours to use as if it were your own. Return the car to its parking space before the end of your timeslot, lock it up, and you're done.

Tell me more about the booking process
We have a booking system right on our website. When you join the club you will be given a username on our website, and you'll be able to use this to log in and access the booking system. It will show you when the car is free or busy, and you can enter the time you'd like and simply book it. At the time of booking you are shown the usage fee that you will be charged, and we will add to this the mileage fee for the number of miles that you use. We send you a confirmation email and a reminder that you can add straight to Outlook or iCal.

What if it needs refuelling?
There's a fuel card in the glovebox; use this to pay for fuel at any service station.

What if the car gets dirty?
We ask our members to be considerate and leave the car as they would expect to find it, inside and out. We wash the cars monthly, so a little bit of dirt is fine, but if it gets quite dirty then please hoover or wash it before returning. You can use the fuel card to pay for car wash or vacuum tokens, or just give it a quick clean at home.

What should I do if I break down?
In the unlikely event that you break down, use the breakdown assistance details in the glovebox and in your member handbook to phone for assistance. We have full national cover including home start, national recovery, and hire car / accomodation cover. First, make sure you are all save and OK, and when you can, please phone us so that we can reschedule subsequent bookings and help you get home or continue with your journey.

Can I smoke in the car?
No, our cars are all non-smoking cars. Please do not smoke in the cars, and do not use the ashtrays.

What if I have an accident?
Don't worry, accidents happen. Firstly, make sure you are OK. We have fully comprehensive insurance and the details are in the glovebox and in your member handbook. If there is another party involved, give them our insurance details, and get theirs. Report the incident to the police if appropriate. When you are able to, please let us know so that we can reschedule subsequent bookings and assist you.

Can I take my pets in the car?
Yes, you can, but please carry them in the back and use a cage or drop cloth to protect the cars. Please make sure that you leave the inside of the car clean and hair free after use. And please don't leave your pets in the car during the summer.

What if I get a parking fine or speeding ticket?
Parking fines or speeding tickets are the drivers responsibility, and so you will pay the fine and any penalties. If we are asked who was driving the car at any time we will let the authorities know based on our records.

Joining

How do I join?
Fill out the application form and come along to one of our new member sessions to get signed up. Bring your drivers license, some other forms of ID, and your membership fee and deposit. We'll give you your member handbook, show you the booking system and how to get in to the cars. You can start booking straight away.

Can I join and then drive today?
It's almost that fast, but not quite. You can make bookings as soon as you've joined at one of our new member sessions. Your damage deposit needs to clear into our bank account before you can take a car, so it usually takes a few days before you're driving.

What do I need to bring to join?
Please bring your driving license; we need to see both the card and the paper counterpart. Please also bring two forms of official ID dated within the last 3 months that show your address, such as utility bill, bank statement, inland revenue letter. We'll take a copy of the ID and file them with your member record. Please also bring your member deposit and membership fee (unless you have paid it direct into our bank account).

What payment do I need to make to join?
Our annual membership fee is £60, and we charge an extra £30 for additional family driver members. You also need to leave a £100 security deposit when you join. This is refunded to you if you cancel your membership at any point.

When do I pay for my car usage?
We invoice at the end of each month for your usage that month, and sometimes, if your usage is high, we invoice every 1/2 month. Our biggest problem in this business is cashflow; we have large monthly fuel bills and if we don't receive our member payments in time we will have serious problems. So we ask our members to be extremely diligent with their payments and to pay us within 7 days at the latest, either by cheque or by online banking.

How do you work out what I should pay?
We download the bookings from our booking system, which tells us what your usage fees are. We check the booking records against the log books and correct any discrepancies. We calculate how many miles you have driven in each car and add the per-mile fee to the usage amount to generate your invoice.

Does each family member driver get billed separately?
Normally we produce a single invoice for each family and separate out costs by driver, so you only have to give us a single payment. If you are joining as an additional family member but would like to pay separately please note this on your application form and we will produce a separate invoice.
